The Multilis Serials Option

by Robin Manley, 1/26/96

The SLSC has now received the necessary development from DRA Multilis that will allow utilization of serial LDRs to affect public display in the OPAC. The basics of this process are the conversion of SC350 or SULOP LDRs into Multilis 852 tags (items). The items will then be appended to the proper bibliographic record (based on OCLC number match) to provide display of library serial holdings to the public via the OPAC. Further, the SULOP tape can also be used to load serial bibliographic records. This loading of items (and records) from source tapes is a one time service. Once the items have been loaded, it will be the libraries' responsibility to interactively update/add/delete these items to keep the serial holdings information up to date (much as you do currently with local serials lists).

This service is available to all LAIP libraries regardless of their plans to implement the Multilis serials module. For those of you planning on (or currently) implementing the Serials module, the LDR items can be used to temporarily display retrospective holdings while current check-ins are being focused on for setup or for permanent display of titles that are no longer active. For those of you not planning on the serials module, these items can be used to replace the ever present serials holding lists.

As with the conversion process of you bibliographic records, not everything will be possible. We will be limited to the fields (and field size) of the parts of the item record as well as what is present in any give LDR record. Some possible types of displays are attached. Conversion consultation will take place with each individual campus to help tailor the available data to best suit everyone's needs.

Although, currently we are only familiar with SULOP and SC350 data, if someone has a different automated serials system, we may be able to make use of that data as well. If you are a SULOP library please don't delay on making this decision. SULOP tapes are only available at certain scheduled times and OCLC requires your orders be received at least 2 months prior to that date. Attached is a list of schedule dates for SUNY/OCLC libraries.

Serials Union List Offline Products (SULOP) Production
Schedule for SUNY/OCLC Libraries

OCLC offers for sale Serials Union List Offline Products (SULOP) to all union list agents and libraries which belong to an existing OCLC union list group. Products may be ordered for an entire group, a subset of a group, or individual libraries in the group. Three formats including paper, microfiche (COM), and magnetic tape are available. Offline products are produced on a cyclical schedule with each group having the ability to produce a list twice each year. Since most libraries in New York state are members both a regional union list group and the New York Consolidated ULS, there are four opportunities to produce an offline product.

Below is a list of SUNY/OCLC union list groups and the production dates for each group. Orders for offline products must be received by OCLC at least two months prior to the production date.
